The Customer is a consulting company with multiple operational offices and site locations. They were looking for a centralized project management system to be used by all the project teams. Since the organization was large in size and had a huge workforce, handling even the daily aspects of multiple projects was difficult for the managers. A software solution that served this purpose was what they required to have the entire process in place and ensure that each project was completed and delivered on time.
The company needed a project management system to be used by the employees daily. The system was meant to address diverse challenges that it was facing with the existing manual project management system it was using. The main challenges included:
OrangeMantra’s business analysts initiated the project with discovery sessions and discussions with business users, documenting the existing process and collating improvement ideas from the users. This was followed by architecting and developing the complete solution. As part of the solution’s implementation and roll-out, our business analysts conducted team training at the client’s location. Further, they were available at client offices to answer queries and resolve issues that the business users faced while using the software.
OrangeMantra’s development team created a fully functional project management solution in line with the client’s requirements. The solution provided functional permission access based on three sets of distinct user types –
The home page of the web application provided access to modules – Projects, Teams, Employees’ Profiles, Calendar pages, and reports
The Project module helps to set up new projects, view the ongoing and planned projects, their planned duration, the assigned project managers, and the respective teams. This module also allows the allocation of employees to the project along with the information about the project. The projects are viewable by all project managers and assigned team members, but team members are not authorized to do any edits.
This module allows the individual team members to view the project progress and updates, risks and issues related to the project; while also showing all the team members allocated to the project and their availability/leave plans.
This module displays information on individual employees, including, general information, such as name, position, location, contact information, etc. Employees are also allowed to use the page to see their information and leave plans
The Calendar is created for employees to view their availability and training schedules as well as the availability of the other project team members.
In addition, the solution also provided a centralized project repository for storage of project management related documents like weekly status reports, project plans, RAID register, etc.
The client was able to optimize their project management processes leading to an increase in the success rate of these projects. Apart from this, the project managers were able to manage the project better with a single source of information including the availability of the team members. For the employees, there was now complete transparency about the project details, work allocation, project progress and issues/risks. The unit could work much more effectively, respect project timelines and contribute much more in project success.
